At Intercultural Teams, we value your privacy. This Privacy Policy describes the privacy practices of Intercultural Teams (“Intercultural Teams”, “we” or “us”) and applies to the information we collect about you when you use our website and online services (collectively, the “Services”), or when you otherwise communicate with us.

This Privacy Policy explains how we collect, use, and protect personal data when you:

  • Use our platform as an administrator or learner, or
  • Participate in one of our training programs or related services.

When we process personal data on behalf of our clients (for example, data about participants in a training program managed by a client), we act as a data processor. In that case, the client’s own privacy policy applies.

This Policy applies to the personal data we process— such as contact details, account information, and communication with our clients as a data controller and platform users.

We do not knowingly collect or process personal data from individuals under the age of 16. Our Services are intended for business professionals and organisational use only.

  • Contact details: name, work email address, phone number, organization, and job title.
  • Account information: login credentials, role (admin/user), platform activity.

We process your personal data based on the following legal grounds under the GDPR:

  • Contract performance: to provide our Services, manage your account, and fulfill our obligations under our agreement with you or your organization (Article 6(1)(b) GDPR).
  • Legitimate interests: to improve our Services, ensure platform security, prevent fraud, and conduct analytics (Article 6(1)(f) GDPR). We have assessed that these interests do not override your fundamental rights and freedoms.
  • Legal obligation: to comply with applicable laws, regulations, and legal processes (Article 6(1)(c) GDPR).
  • Consent: for sending marketing communications or using certain cookies. You may withdraw your consent at any time by clicking the unsubscribe link in our emails or adjusting your cookie preferences (Article 6(1)(a) GDPR).

    All third parties are bound by confidentiality and data protection obligations.

6. Intenational Transfers

If we transfer personal data outside the European Economic Area (EEA), we ensure that appropriate safeguards are in place — such as EU Standard Contractual Clauses or equivalent protections.

7. Data Retention

We retain your personal data only for as long as necessary to fulfill the purposes described in this Privacy Policy, unless a longer retention period is required or permitted by law. Specifically:

  • Account data: retained for the duration of your account plus 1 year after account closure.
  • Training records: retained for 7 years to comply with legal and contractual obligations.
  • Communication data: retained for 3 years for customer support and quality purposes.
  • Marketing data: retained until you withdraw consent or we no longer have a legitimate interest.
  • Financial records: retained for 7 years in compliance with Dutch tax and accounting regulations.

When personal data is no longer needed, we will securely delete or anonymize it.

We implement appropriate technical and organizational measures to protect your personal data against unauthorized access, loss, destruction, or alteration. These measures include encryption, access controls, secure hosting environments, and regular security assessments.
