At Intercultural Teams, we value your privacy. This Privacy Policy describes the privacy practices of Intercultural Teams ("Intercultural Teams", "we" or "us") and applies to information we collect when you use our website, iOS or Android application, training platform, cultural tools, or related services (collectively, the "Services"), or otherwise communicate with us.

1. Scope of this Policy

This Privacy Policy explains how we collect, use, and protect personal data when you:

  • Visit our website or contact us;
  • Use our website or mobile app as an administrator or learner; or
  • Participate in a training program or related service.

When we process personal data on behalf of a client, such as participant data in a client-managed training program, we act as a data processor and the client's privacy policy may also apply.

We do not knowingly collect or process personal data from individuals under the age of 16. Our Services are intended for business professionals and organisational use.

2. Information We Collect

Depending on the features you use, we may collect:

  • Contact and profile details: name, work email address, phone number, organization, job title, profile image, language, country, and other information you choose to add.
  • Account and authentication information: account identifier, encrypted login credentials, role, organization membership, and identifiers supplied by Apple, Google, WorkOS, or your organization's identity provider. We do not receive your Apple ID or Google account password.
  • Communication data: messages, support requests, live-training inquiries, and other information you send us.
  • Usage and device data: platform activity, access logs, IP address, browser or device type, operating system, app version, and diagnostic information needed to secure and operate the Services.
  • Training and cultural-tool information: course enrollments, lesson progress, completion status, survey answers and results, scenario responses, saved cultural profiles, team assignments, feedback, and related learning activity.
  • Purchase and subscription information: product purchased, entitlement or subscription status, renewal or expiration date, transaction identifiers, and limited purchase history. Apple, Google Play, or Stripe processes payment-card details; Intercultural Teams does not receive full payment-card numbers for app-store purchases.
  • Booking and financial information: bookings, invoices, billing contact details, and transaction records where you purchase or schedule a service.

3. Legal Bases for Processing

Under the GDPR, we process personal data based on:

  • Contract performance: to provide the Services, manage your account, deliver purchased content, and fulfil obligations to you or your organization (Article 6(1)(b)).
  • Legitimate interests: to improve and secure the Services, prevent fraud and abuse, provide customer support, and understand service performance (Article 6(1)(f)).
  • Legal obligations: to comply with tax, accounting, regulatory, and legal requirements (Article 6(1)(c)).
  • Consent: for optional marketing communications, non-essential cookies, or other processing where consent is requested (Article 6(1)(a)). You may withdraw consent at any time.

4. How We Use Information

We use information to:

  • Create, authenticate, and administer accounts, including through Apple, Google, WorkOS, or organization identity providers;
  • Provide training, survey results, cultural profiles, scenarios, team features, and personalized tools;
  • Record enrollments, lesson progress, completions, and learning activity;
  • Process purchases, maintain subscription entitlements, restore purchases, and provide invoices;
  • Respond to support requests, inquiries, and bookings;
  • Send service, security, account, and administrative messages;
  • Monitor reliability, prevent fraud and abuse, and improve the Services;
  • Send marketing messages where you have consented; and
  • Meet legal, financial, and security obligations.

5. Service Providers and Disclosure

We do not sell or rent personal data, and we do not use personal data for third-party advertising. We may share only the data needed with:

  • Apple and Google: to process in-app purchases, restore purchases, and support Apple or Google sign-in.
  • RevenueCat: to retrieve app-store products and manage subscription status, purchase restoration, and entitlements. RevenueCat receives our internal app-user identifier and store transaction or entitlement information.
  • WorkOS: to provide enterprise single sign-on and synchronize organization-managed user identities where enabled.
  • Stripe: to process purchases made on our website.
  • Hosting, storage, media-delivery, email, and infrastructure providers: to host the Services, deliver training media, secure accounts, send transactional messages, and operate the platform.
  • Professional advisers and authorities: where reasonably necessary or required by law.
  • Affiliated companies: for purposes consistent with this Policy.

These providers process information under contractual confidentiality and data-protection obligations. Some providers act as independent controllers for data they process under their own terms, including Apple and Google for app-store transactions.

6. International Transfers

Some service providers process information outside the European Economic Area. Where required, we use appropriate safeguards such as an adequacy decision, EU Standard Contractual Clauses, or another lawful transfer mechanism.

7. Data Retention and Account Deletion

We retain personal data only for as long as necessary for the purposes described in this Policy:

  • Account, profile, authentication, cultural-tool, and training-progress data is retained while your account is active.
  • Support correspondence is normally retained for up to two years after a request is resolved.
  • Financial, invoice, purchase, and booking records may be retained for up to seven years where required by Dutch tax, accounting, fraud-prevention, or other legal obligations.
  • Security logs and backups are retained for a limited operational period and then deleted or overwritten under our retention schedule.
  • When you delete your account, we remove or anonymize account and profile information and disconnect authentication providers. Records that must be retained for legal or financial reasons are kept only for the required period and are no longer associated with an active profile.

You can initiate account deletion from Profile → Account Settings → Delete Account, including when you are enrolled in training. You may also submit a request at interculturalteams.com/account-deletion or contact privacy@interculturalteams.com.

Deleting your Intercultural Teams account does not automatically cancel an Apple App Store or Google Play subscription. Cancel recurring subscriptions through the store account used to purchase them.

8. Security

We use technical and organizational safeguards including encrypted transport, access controls, secure credential storage, restricted administrative access, and monitored hosting. No internet service can guarantee absolute security.

9. Your Rights

Subject to applicable law, you may:

  • Access or correct your personal data;
  • Request deletion;
  • Object to or restrict processing;
  • Request data portability; and
  • Withdraw consent where processing is based on consent.

Contact privacy@interculturalteams.com to exercise these rights. You may also lodge a complaint with the Dutch Data Protection Authority at autoriteitpersoonsgegevens.nl.

10. Cookies and Similar Technologies

Our website uses essential cookies for login sessions, security, and preferences. With consent where required, it may also use analytics cookies to understand website usage. The mobile app uses secure local storage for login credentials and preferences; it does not use browser advertising cookies.

You can manage website cookie preferences through our cookie banner or browser settings.

11. Updates to This Policy

We may update this Policy as the Services or legal requirements change. The latest version and effective date will remain available here. We will provide appropriate notice of material changes.
